Setting Up Approval Chains Using a Form

Last Updated: 12/05/2018 Introduced in Version: 2.0

An administrator user can use an approval form to set up an approval chain.

Example

This example demonstrates how to create an approval chain using an approval form within a flow.

Navigate to a Designer Projects folder, and create a new flow. Name the flow “Approval Chain Setup” and click OK

In the Flow: Approval Chain Form window, in the Components panel on the left, expand the Forms [Interaction] category and select a form. In the video, the user adds two previously-created forms to the workspace, by dragging and dropping the Leave Approval form, and by pasting the Setup Wizard Confirmation Screen form.
In the picture below, this was done using the AD Hoc Approval Request Form and the Approve Item Form.
  1. In the Components panel in the Flow Designer’s startup window, expand the Flows, Rules, Forms and Reports > Forms [Interaction] category, expand the Approval category, and expand the Approvals Core category.

  2. Select the Configure Approval Chain Form item and click Add to add it to the workspace.

  3. Configure the flow mapping.

  4. Click Save Flow at the top of the window.

  5. Click Save.

  6. Click Debug Flow at the top of the window. Note that in Decisions version 3.5, you’ll need to click Test Flow to access the Debugger.

  7. In the Flow Debugger window, on the Form tab, enter the title, description, and date and click Select Approver. In the video, the user enters a request for leave on a specific date.

  8. In the Configure Approver Chain window, select name of the new approval chain list, and add the approvers for each level. The approver can be an account, group, or role. Click the Edit button to specify whether it is an escalation level or a time to approve.  In the video, the user sets up a two-level approval chain with approval required from one account at each level.

  9. Click OK.

The system creates an approval chain for the Leave Approval form.
