Considerations

  • Install the Error Handling project from the App Store (My Apps Folder, in v8, or under Projects in v9) prior to using the Playbook Activity Manager.

Playbook Manager View Dashboard

There are two Pages on the Playbook Manager View Dashboard: the Playbook Teams Page and the My Open Activities Page. 

Playbook Teams Page

This page comprises of two Reports with a parent-child relationship. The first Report, titled "All Playbook Teams," displays a comprehensive list of all created Playbook Teams. The second Report is designed to showcase Playbook Templates associates with the selected team, providing a mote detailed perspective. 


My Open Activities

This Page displays a list of activities that are assigned to the current user. 


How to Use Playbook Activity Manager

  • Create Playbook Team Action: This actions facilitates the creation of a Playbook Team, requiring the input of Team Name and Owner Email Address as essential fields. Once the team is successfully created, users will receive a notification confirming the creation of a team with the specified name. 
  • Within each Playbook Template, there is a subfolder view ("Playbook Main Page") that presents two additional reports. These reports maintain a parent-child relationship, illustrating the connection between the Playbook Template and the activities associated with each template. An example of "Employee Onboarding" is given below. This page also displays the Launched Playbook Count and Open Assignments by Assignee reports.
  • Add Playbook to Team: This action is used to add a Playbook Template to the team. 
  • Edit/Delete: Helps in editing and deleting a Playbook Team. Multiple Templates can also be deleted upon group selection.
  • Add Activity to Playbook: This action facilitates adding an Activity to the respective Playbook Template. Users need to fill in the fields shown in the picture, with "State After Completion" being optional. Additionally, users can choose the activity type from options such as Simple Text Entry, Checklist, File Upload, Multi-Select Dropdown, and Contact Info. Each activity type entails different tasks based on the selection.  
  • Copy Template: This will help with copying the existing Playbook Templates along with their Activities.
  • Launch This Playbook: This action will be used to launch a Playbook. Launched Playbooks can be viewed from the "Launched Playbooks" Page. Assignments to the respective users will be done after the launch.
  • Delete Playbook: This group action is used to delete one or more Playbook Templates. Note: This will delete all the Activities associated with the Playbook Template. 
  • Similarly, each Activity will have two actions, "Edit Activity" and "Delete/Remove Activity," which helps in updating and deleting the desired Activity. 
  • Note: Playbooks will only be launched upon clicking the "Launch This Playbook" action. Once launched, each Activity will be assigned to the respective user, and the task details will be displayed on the "Launched Playbooks" Page.
